01 / TOURISM · USE CASE

Connect the reception phone to hotel availability and bookings.

Xvoice + Xflow

OPERATION / ENQUIRIES AND BOOKINGS ENVIRONMENT / PHONE · PMS · RECEPTION

A call comes in while reception is busy elsewhere.

An arrival, an availability enquiry, a change of dates. Phone calls compete for attention with everything happening at the desk. Every conversation means looking up information, collecting details and recording a transaction in the hotel's system.

The conversation, connected to the operation.

The system answers the call, identifies the reason and consults the hotel's authorised information. For a booking, it collects dates and occupancy, checks availability and conditions in the PMS, and presents the options returned by the system.

If the integration supports completing the transaction and the hotel's rules are met, it records the booking and communicates confirmation. If payment, an exception or a reception decision is required, it prepares the request for follow-up.

A booking is confirmed when it is recorded in the PMS.

Before communicating confirmation, the system verifies that the booking has been recorded. If the PMS does not respond, there is a discrepancy or the transaction is incomplete, it explains that the request is pending and hands it over.

Reception receives the reason for the call, the details collected and the exact point where it needs to intervene.

HUMAN CONTROL

Reception handles special conditions, incidents and requests outside the authorised scope.

WHAT WE WOULD MEASURE

Calls handled. Transactions completed and handed over. Reception intervention time. Booking errors or duplicates.

02 / CONSTRUCTION · USE CASE

Connect each construction project's documents to its costs, timelines and variances.

Xflow

OPERATION / CONSTRUCTION MONITORING AND CONTROL ENVIRONMENT / PROJECT DOCUMENTS · BUDGET · SCHEDULE · ERP

Understanding how a project is progressing means piecing together a puzzle.

Contracts, budgets, meeting minutes, quantity measurements, payment certificates and invoices. Information is scattered across documents and applications. To prepare a progress review, someone has to gather it, check versions and cross-reference it with the ERP.

An invoice does not match the planned budget item. A measured quantity exceeds the budget. Meeting minutes record a delay that has not yet reached the schedule. Discrepancies may emerge when there is little room left to act.

Every document, linked to the project and its execution.

The system identifies the project, work item and version for each document. It extracts commitments, amounts, dates and documented progress, then checks them against the budget, schedule and ERP records.

It uses this information to prepare an up-to-date view of each project and flag potential cost, schedule or quantity variances. It distinguishes what was planned, executed, certified and invoiced. Each alert shows its source and the information that needs review.

A variance is reviewed in context.

The technical office and site management receive discrepancies with the supporting documents and records. If information is missing, versions conflict or a figure is out of date, the system makes this visible before presenting a conclusion.

The responsible people validate the issue and decide how to act. The system preserves the link between the alert, the review and the decision, without changing budgets, approving payments or adjusting deadlines on its own.

HUMAN CONTROL

The technical office and site management validate discrepancies and decide on actions. Budget changes, payments and schedule changes follow the company's approval procedures.

WHAT WE WOULD MEASURE

Time spent preparing project progress reviews. Discrepancies detected before close-out. Time between recording an issue and reviewing it.

03 / MANUFACTURING · USE CASE

Plan production around orders, materials and the plant's actual capacity.

Xagents

OPERATION / PRODUCTION PLANNING AND REPLANNING ENVIRONMENT / ORDERS · MATERIALS · RESOURCES · CALENDARS · PRODUCTION SYSTEMS

Every change means revisiting the plan.

Planning production means aligning orders, delivery dates, materials, machines, shifts and manufacturing times. When an urgent order arrives, a material is missing or a machine stops, the team has to reassess what it can produce, in what order and with what consequences.

Accommodating an urgent order also means knowing which other orders would move and whether an alternative can meet the promised delivery dates.

Compare alternatives before committing production.

The system collects orders and availability data. It checks that the information is complete and current, and uses a planning engine to apply manufacturing constraints and prepare alternatives: what to produce, when and with which resources.

The planner compares projected deliveries, resource loads and changeovers. They can adjust priorities and approve a proposal before releasing it to operations.

Replan with a clear view of what changes and who is affected.

When an incident occurs, the system proposes a revised plan and shows what changes from the previous version. The responsible person reviews the affected orders and decides which changes to authorise.

If materials, capacity or deadlines prevent all commitments from being met, the system identifies the conflict. If reliable data is missing, it requests a review. Mandatory constraints are respected; any change to priorities or commitments requires the planner's decision.

HUMAN CONTROL

The responsible person sets priorities, reviews alternatives and approves the plan. The system does not release production changes on its own or present a plan as feasible if it violates mandatory constraints.

WHAT WE WOULD MEASURE

Time to prepare and review the plan. On-time deliveries. Changeovers. Differences between planned and actual times.

How many hours does it take to rebuild the plan when an order or resource changes?

04 / TRADE AND DISTRIBUTION · USE CASE

Prepare and validate ERP orders from the channels customers already use.

Xagents

OPERATION / ORDER ENTRY AND VALIDATION ENVIRONMENT / EMAIL · DOCUMENTS · CONNECTED CHANNELS · ERP

The order arrives. Then the interpretation begins.

One customer writes an abbreviated reference. Another attaches their own template. Another asks for "the same as last week".

Before entering the order, someone identifies the products, checks terms and verifies that quantities, units and availability align.

From the customer's message to a structured order.

The system collects requests from connected channels, identifies the customer and proposes matches to the catalogue. It checks prices, sales units and availability in the ERP.

It prepares the order with its line items, terms and source references. Before recording it, it checks for potential duplicates and applies the defined commercial rules.

Ambiguity becomes visible before it becomes an error.

An uncertain reference, an incompatible quantity or a special condition triggers a review. The team receives the affected line item and the reason.

Orders that meet the agreed criteria can be recorded automatically. The rest are prepared for approval or clarification with the customer. Confirmation reflects the order's actual status in the ERP.

HUMAN CONTROL

The team resolves ambiguous references, substitutions, exceptional discounts and delivery commitments outside the agreed rules.

WHAT WE WOULD MEASURE

Time to record an order. Orders requiring correction. Exceptions by reference or condition. Duplicates detected before entry.

How much work lies between receiving an order and being able to fulfil it?

05 / PROFESSIONAL SERVICES · USE CASE

Build proposals using the firm's knowledge, current rates and a defined scope.

Xagents + Xmind

OPERATION / PROPOSALS AND QUOTATIONS ENVIRONMENT / BRIEF · PROPOSALS · RATES · PROFILES · CRM OR ERP

Every new proposal means rebuilding part of the last one.

Knowledge is scattered across proposals, methodology documents, profiles and rate sheets. Preparing a proposal means finding valid material, adapting it and checking that scope, effort and price still align.

A proposal starts with what we know about the assignment.

The system structures the brief and identifies missing information. It retrieves authorised material from previous work, selects relevant profiles and checks current rates.

With that context, it prepares a proposal covering scope, deliverables, phases, cost estimates, assumptions and exclusions. Calculations follow the firm's rules and remain available for review.

Reusing knowledge means preserving its boundaries.

The system distinguishes reusable material from information restricted to each client. It flags missing data, outdated references and decisions requiring validation.

If team availability is not connected and up to date, it remains unconfirmed. The responsible person reviews capacity, price, margin and terms before sending.

HUMAN CONTROL

The firm decides what it commits to, who will deliver it and on what terms. Sending requires approval.

WHAT WE WOULD MEASURE

Time to a first draft ready for review. Scope and price corrections. Missing data at review. Material reused with traceability.

Which parts of each proposal are you still building from scratch?
